Designating an Employee Record as Protected
POST records are subject to the Utah Government Records Access and Management Act (GRAMA) laws and rules outlined in UCA 63G-2. Agencies can designate individual employment and training records as protected to avoid compromising an individual who may be working undercover or in another sensitive position. By changing this designation, the information will be redacted from requests for government records under UCA 63G-2.
The following steps will show how to submit a change in the Acadis portal to designate the record as protected. This can be changed at any time using the “Update Employment” feature in the Utah Acadis Online Portal. Only authorized agency representatives may submit this request.
- From the Utah Acadis Portal, select “Workforce” → “Personnel.”

- From the “Personnel” tab, find the individual and select the three dots to pick “Update Employment.”

- Choose “Update” from the “Update Action” drop-down.
- Choose “Protected (Active)” from the “Employment Status” drop-down, leaving all other items as default.
- Select “Submit Request.”

- Under the workforce screen, the requested change is shown

- Once the change is accepted, the individual file will reflect the status. This can be reversed by completing the steps again and selecting “Active (Active).”
